This Privacy Policy describes how Videotec LLC (“we”, “us”, or “our”) handles information in connection with:

  • Any Microsoft 365 Copilot-based applications, agents, or related tools published or provided by Videotec LLC (each an “Application” and collectively, the “Applications”).

This Privacy Policy applies specifically to use of the Applications. For information about how we handle data through our website, please see our Website Privacy Policy.

Applications Covered by This Policy

This Privacy Policy applies to all current and future Microsoft 365 Copilot-based agents, tools, and applications published or distributed by Videotec LLC, including but not limited to applications listed on the Microsoft Marketplace.

Each Application may include its own description and capabilities, but all Applications are governed by this Privacy Policy unless explicitly stated otherwise.

How the Applications Handle Your Data

Our Applications are designed to operate entirely within your Microsoft 365 tenant environment.

  • No external data transfer: Videotec LLC does not collect, transmit, store, retain, or process your data outside of your Microsoft 365 tenant unless explicitly disclosed for a specific Application..
  • No external servers: The Applications do not send data to Videotec-operated servers or third-party services.
  • No backend storage: Videotec LLC does not maintain databases or storage systems containing customer content submitted to the Applications.
  • No AI model training: Videotec LLC does not use your content to train, refine, or improve any artificial intelligence or machine learning models.
  • No analytics tools: The Applications do not use Google Analytics, marketing platforms, or any third-party analytics services to monitor your use of the Applications.

All processing of your data occurs within the Microsoft 365 Copilot environment, subject to Microsoft’s data handling and privacy commitments.

Content Within Your Microsoft 365 Environment

The Applications interact only with content you choose to share or upload during your use of Microsoft 365 Copilot, such as:

  • Documents
  • Files
  • Contracts
  • Other content explicitly provided by you

This content remains under your control and within your Microsoft 365 tenant’s security and compliance boundaries.

You and your organization remain the data controller for all such content.

Microsoft 365 and Third-Party Services

The Applications operate within and depend on Microsoft 365 and related Microsoft services. Data handling within Microsoft 365 is governed by:

  • Microsoft’s privacy and data protection commitments
  • Your organization’s Microsoft 365 configuration and policies

Videotec LLC is not responsible for the data handling practices of Microsoft or other third-party services.

Information We Do Not Collect

Videotec LLC does not collect or maintain:

  • Your contracts, documents, or other content processed by the Applications
  • Personal identifying information about end users of the Applications
  • Behavioral analytics from within the Applications
  • Usage data, telemetry, or operational logs from the Applications
  • Output generated by the Applications

Regulated Data Considerations

The Applications are not specifically designed for use with personal data subject to special regulatory frameworks, including but not limited to:

  • HIPAA (Protected Health Information)
  • GDPR Special Categories of Personal Data
  • PCI-DSS (Payment Card Information)
  • Other sector-specific regulatory data

Your organization is responsible for evaluating whether the Applications are appropriate for your specific compliance requirements.

Your Rights and Responsibilities

Because all data remains within your Microsoft 365 tenant, your organization retains full control over:

  • Access to data
  • Data retention
  • Data deletion
  • Compliance with applicable privacy laws

For requests related to access, correction, or deletion of data, contact your Microsoft 365 administrator or your organization’s data protection officer.

Children’s Privacy

The Applications are not intended for use by individuals under the age of 13, and Videotec LLC does not knowingly collect or process information from such individuals.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page and will take effect immediately upon publication.
